Make your first travel day straightforward
Arrival days can be tiring, especially after a long-haul flight. A well-organised airport transfer is valuable because it removes the need to negotiate onward transport with bags in hand. However, a good transfer is not only about meeting a driver: it starts with accurate flight information, enough luggage space and realistic plans for the first afternoon.
Which airport and which hotel?
Most international visitors use Bandaranaike International Airport, commonly called BIA or Colombo Airport, situated near Katunayake. That is not the same as a hotel in Colombo city, and routes can vary considerably depending on whether you are staying in Negombo, Colombo, Kandy or Sigiriya. Provide the complete hotel name and address, not just the destination city.
How an airport pickup should work
Share your flight number, scheduled landing time, lead passenger name, WhatsApp contact and number of travellers. After landing, you still need to pass immigration and collect luggage before meeting the driver. Confirm the meeting instructions in advance and let the operator know if the flight is delayed. If your trip includes children, mention ages and any child-seat requirements before confirming the vehicle.
Choosing a suitable vehicle
A small car may be comfortable for a couple with modest bags, while four adults plus several large suitcases may need a van even if the seat count appears adequate. Give the actual number and size of suitcases, not just passenger count. Accessibility and mobility needs can also influence vehicle choice.
Long transfers after overnight flights
A direct airport-to-Ella journey is possible as a private transfer, but it is a long first day. Depending on arrival time, an airport-side night may be the more enjoyable choice. A transfer to Kandy or Sigiriya is more manageable for many groups, though road conditions and traffic still affect timing. We describe those options on the airport to Kandy, airport to Sigiriya and airport to Ella pages.
What to confirm before paying
- Pickup location, meeting instructions and the exact drop-off address.
- Vehicle type and luggage capacity.
- Whether highway tolls, parking and waiting time are included.
- The agreed plan for flight delays and late-night arrivals.
- Whether you are booking a direct transfer or a separate sightseeing day.
Your departure day matters too
If you are travelling from Galle to the airport, allow for coastal traffic, expressway access and the airline’s check-in guidance. Our Galle to Colombo Airport route is a useful checklist. Share your flight time rather than choosing a pickup solely by a generic drive-duration estimate.
